Administrative/Marketing Assistant
We are currently seeking an administrative/marketing assistant for a
full-time, entry level position.
The purpose of this position is to support the overall operational function
of the company by performing administrative services for the
executives of Campos Inc including: scheduling, office support, report maintenance, and access
control. Support of Campos Inc strategic initiative to enhance our
marketing to effectively communicate who we are, our services, and our value
proposition to our clients and prospects. Assist in the development and production of companywide
marketing materials.
Specifically, you will be responsible for:
- To serve as the face of Campos Inc by
meeting and greeting its clients and visitors; answering, screening and
routing calls; utilizing verbal and written communication as well
as electronic formats necessary to maintain the overall efficient and
effective operations of the company.
- Manage correspondence, including all incoming
and outgoing mail, both postal and electronic, photocopying, typing, and all requests for
information about the company and its products and services.
- Database management including the company’s
client database and the executive’s email and phone contact lists.
- Data entry of accounts payable and accounts
receivable using appropriate software.
- Inventory management and ordering of all the
company’s supplies.
- Support Research Services and executive team as
needed including focus group observation and note taking, help to
summarize content and format research reports and presentations, client
communications, etc.
- Organize and maintain schedules for the
executive staff, using appropriate software.
- Set up and maintain file systems for the
executive staff.
- Assist with various internal accounting reports
for tracking staff billable time, client jobs, and other internal
reporting as needed.
- Makes travel arrangements and appointments for
executives as needed.
- Schedules employment interviews, send form
letters to employment candidates.
- Back up other office personnel as appropriate
and carries out all other tasks deemed appropriate by the executives.
- Assist in the design and distribution of
marketing materials including: letters, collateral materials, client
meeting materials/presentations, newsletters, client feedback, mailings,
etc.
- Recommends and supports the design and
development of social networking for Campos Inc based on the approach
agreed to with the management team.
- In partnership with Information Technology,
manage company website, maintain relevant look and feel and content for
the Campos Inc website.
- Performs all other duties as requested.
Qualifications
- Preferred undergraduate business/marketing degree
with administrative assistant/executive secretary experience.
- Proficient in all Microsoft Office applications. Knowledge of QuickBooks and FrontPage a plus.
- Excellent typing and proofreading skills.
- Initiative, ability to work independently, ability
to prioritize and multi-task, strong communication skills, both verbal and
written, creativity, business savvy, verbal comprehension, good
organizational abilities, strong interpersonal skills.
